Our client is a casual Italian dining concept, with more 30 stores in Singapore, more than 1000 in our home country of Japan, and about 400 locations in China, Hong Kong and Taiwan.
- Administration of leasing contracts for new & existing outlets.
- Track & maintain a database of all leasing agreements, to ensure compliance with company policies and legal requirements.
- Coordinate with relevant stakeholders (i.e. Building Management, internal departments, vendors) to ensure timely execution of contracts requirements.
- Support the coordination of outlet renovation & maintenance projects.
- Maintain up-to-date maintenance schedule, ensure records are accurately documented.
- Liaise with contractors, vendors & internal teams to ensure projects completed on-time & within budget.
- Monitor & report the ongoing projects progress. Address issues that may arise.
- Source & obtain quotations from vendors for various projects, maintenance works and services.
- Prepare & submit quotations for management review
- Follow-ups with vendors to ensure works performed follow the required standards, timely completion of works & resolve discrepancies.
- Conduct site visits to assess the suitability of potential locations for new outlet openings.
- Document findings (i.e. site conditions, accessibility & market potential) & provide detailed reports
- Maintain record of all sites visited (i.e. photos, notes, follow-up actions, etc.)
- Provide general administrative support, i.e. scheduling meetings, preparing reports and maintaining filling systems.
- Assist in preparation of presentations, proposals & other documentation as required.
- Ensure all departmental records are up-to-date & easily accessible.
- Other ad hoc duties assigned by the company
- Diploma in Business Administration, Real Estate, Hospitality Management, or a related field.
- At least 1-2 years of experience in F&B operations, leasing, project coordination, or vendor management is preferred.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and database management.
- Possesses communication skills (speaking and writing) in English and Chinese, to liaise with Chinese vendors/contractors.
- Strong organizational and time management skills.
- Excellent attention to detail and accuracy.
- Ability to negotiate and manage vendor relationships effectively.
- Willing to travel within Singapore to visit potential, new and existing outlets
- Good teamwork and able to work independently.

- Working hours: Monday to Friday (9am - 6pm)
