Job Description

- Reporting to Admin / HR Manager and Chief Administrative Officer
- Administrate company's facilities, such as rented apartments, mobile phones, company's cars, water dispenser and other office equipment.
- Flight booking, hotel reservation, and other travelling matters.
- Purchase office equipment, stationeries and pantry items.
- In charge of postage matters.
- Sorts and distributes incoming mails, courier parcel and documents.
- Insurance Matters – Assists in communication with Insurance company on all company insurance related matter like renewal for fire, burglary, accident, equipment claim, travel claim, Medical claim due to injury at work, etc.
- Assets control – Assists in documentation of purchase and disposal of company general assets.
- Assists in maintaining of administrative related legal document, renewal service contract and filing.
- Administrates employees' attendance, annual leave balance and other types of leave.
- Updating employees’ name list in company organization chart.
- Inform all employees of company activities / events / special leave arrangement.
- Follow-up with division manager on employee confirmation and assist in the preparation of HR related documents.
- Assist in on-line recruitment / candidates' interview schedule and facilitate new employee's orientation and introduction.
- Assist in filing and updating of employees personal records.
- Assists in e-filing and claiming of skills connects.
- Assists Japanese expatriates in their rented apartment matters and relocation to and from Japan.

Job Requirements

- Recognised Bachelor Degree or Diploma in HR/Business administration; or with at least 5 years experience in similar position if the degree or diploma is from other faculties
- Able to handle job stress and work pressure from varying demands on one’s time; able to manage multiple tasks
- Good communication skills
