Job Description

- Handle sensitive and confidential matters with high integrity, manage P-File, update employee records and maintain proper filing systems.
- Update and maintain employee’s leave matters and personnel records on People module.
- Assist in recruitment process and coordinate with hiring managers on the job description and set up for interviews. Work with recruitment agencies and/or manage recruitment posting on job portal.
- Prepare HR reports, leave and medical benefits administration.
- Co-ordinate training program with both internal and external stakeholders, to enhance employee skillset and learning development.
- Keep abreast of rapidly changing employment policies and regulations by local government.
- Responsible for incoming calls, incoming/outgoing mails & company internal mailing bag. To distribute and disseminate important circulars, mails, letters in timely manner.
- Provide secretarial support to General Manager such as screening incoming phone calls, arrange meetings/travel schedules, draft correspondence and maintain effective filing system.
- Maintain and update employee guides and administration information or process on shared drive.
- Manage business travel authorization and make travel bookings using internal booking tool, where necessary.
- Manage travel reimbursement and ensure that claims are align with travel policy.
- Ensure proper maintenance of office equipment/facilities.
- Provide basic IT support and troubleshoot.
- Manage contracts of vendors pertaining to office equipment, general insurance and administration matters.

Job Requirements

- Minimum Diploma from a local polytechnic or Degree in Business Administration/HR
- At least 2 to 4 years of relevant experience.
- Proficient in MS Office Word, Excel, Power Point.
- Pleasant personality with strong interpersonal, communication and co-ordination skills.
- Pro-active, self-motivated individual who works well in a team.
- Good team player with strong sense of responsibility and self-motivation.
- Organized and able to prioritize tasks.
- Adopt “Kaizen” mentality to improve work flow process and working environment.
- Meticulous with high degree of accuracy and attention to details.
- Ability to manage multiple tasks successfully and under pressure.

Compensation

- 5 working days (Monday-Friday)
- Location: Central
